Planning a corporate event, working backwards
A timeline for offsites, client dinners, launches and holiday parties — what has to be settled at six months, at eight weeks and in the final fortnight, and which items genuinely cannot be moved.

Six months out, or June for December
The only genuinely date-critical decision is the room. Nashville's good Friday and Saturday rooms are typically committed by early autumn for December, and what remains carries premium pricing. If your event is a holiday party, six months is not cautious — it is the window.
At this stage you need three things and no more: a date or a short list of candidate dates, an honest guest count range, and a budget with a note on whether it is a hard cap. That is enough to source a venue. Everything else can follow.
Three to four months out
- Venue contracted
- With the real end time, the load-in window and the accessible route in writing.
- Catering format chosen
- Seated, stations or buffet changes the room layout, so it needs to be settled before layout work starts.
- AV scoped against the venue
- Power at the stage position, rigging limits, blackout capability and rehearsal time. This is the single most common late-discovered problem.
- Save the date sent
- Especially if attendance is voluntary.
Six to eight weeks out
- Menus tasted and confirmed
- With dietary requirements collected rather than estimated.
- Run sheet drafted
- Arrival, speeches, service, close. Share it with the venue and the caterer, not just internally.
- Invitations out
- With the arrival route and parking, not just an address.
- Contracts reviewed for cancellation terms
- Per provider. They will not match each other.
The final fortnight
Final numbers are usually due to the caterer around two weeks out, and that number is what you pay for whether or not everybody comes. Our own packages take the balance fourteen days before the event for the same reason: this is the point at which the event stops being flexible.
In the last week, confirm the three things that ruin events when they are wrong: what time amplified music has to stop, who is on site to receive deliveries, and who has authority to make a decision on the day. If that last person is you, tell the venue and the caterer in writing so they stop asking each other.
